About Travelbound

Travelbound creates educational trips for schools, colleges and universities. Each journey is designed to support the curriculum, build confidence and help students connect learning with the wider world.

Our trips are built for teachers and group leaders planning experiences for students aged 10–21. We also support universities organising subject‑specific study tours.

You’ll receive a named Tour Co-ordinator, a detailed itinerary, risk assessments and help with planning, parent communication and travel documents.

Insurance, Medical and Health & Safety

Please refer to your local authority or governing body for safety guidelines and regulations regarding water immersion activities.

Travellers only need to apply for a UK GHIC once their EHIC expires. Both provide the same level of cover and UK GHIC  is free and lasts for up to 5 years.

Yes. We supply comprehensive risk assessments for accommodation, excursions and transport. You can adapt these to meet your school or local authority requirements.

Dietary requirements are shared with suppliers; however, group leaders should reconfirm on arrival. Allergen-free food cannot be guaranteed due to cross-contamination risks.

All allergies and medical requirements must be clearly communicated to Travelbound as early as possible. Our Group Information Form asks that you provide these details.

As early as possible so we can ensure all elements of your trip are suitable for all passengers. We recommend speaking to your Account Manager about this at the sales stage; however, if this isn’t possible, please speak with your Tour Co-ordinator.

Your institute must complete a risk assessment in line with government and institutional guidance.

We can send you guidance and documentation to help you complete your own risk assessment.

ABTA provides safety advice for young travellers aged 16–23.

Yes. Adequate travel insurance is compulsory for all Travelbound travellers. If insurance is not included in your package, please enquire about adding it.

We recommend obtaining a letter of parental consent for all students under 18 travelling overseas.

If a student has a nut allergy, it is essential to inform your Tour Co-ordinator well in advance so the airline can be notified. Airlines may provide allergen-free meals on request, however cross-contamination can still occur, so additional precautions, such as carrying an epinephrine auto-injector and reading ingredient labels, are recommended. Group leaders should also remind students not to share food with others during the flight and advise the cabin crew when boarding the aircraft. Please refer to your airline’s policy.

Students travelling with medication should carry it in its original packaging with the prescription label intact. Always bring enough for the duration of the trip, plus a small extra supply in case of delays. It is advisable to carry a doctor’s note or prescription for all medications. Please refer to your airline’s policy.

Booking & Payments

We accept payment by bank transfer, card, or an official purchase order.

We provide a clear payment schedule with deposit and balance dates. You’ll receive reminders and guidance to help keep the group on track.

Most teachers book 12–18 months ahead to secure preferred travel dates and prices. However, we can often support shorter lead times depending on availability.

Any sensitive or personal information should be sent in a password-protected format to ensure it remains secure. Please share the password separately so we can access the information safely. If you are unsure, we can provide a document to assist with password protection, or alternatively, please consult your IT team.

If your group numbers change, please contact your Tour Co-ordinator, who will advise on any financial recalculations. Cancellation fees will apply in line with our Terms & Conditions, depending on the stage at which the cancellation is made. We strongly recommend finding a replacement passenger where possible to keep the tour price as originally quoted. If any passengers are cancelled 69 days or more before departure, their deposit will be forfeited, and the tour price will be recalculated based on the revised group size. For any additional passengers, availability will need to be checked with our suppliers, and we will advise of any supplementary charges that may apply

Passports, Visas & Entry Requirements

Yes, we can organise this for your group. Please speak with your Tour Co-ordinator post confirmation, who will talk you through the process. Please note we cannot assist with individual Visa applications.

From 25 February 2026, non-European visitors travelling to the UK who do not require a visa for short stays, and who do not already hold UK immigration status, will need to apply for an Electronic Travel Authorisation (ETA) before travelling. British and Irish citizens are exempt from this requirement. You can apply for an ETA online via the official GOV.UK website

Yes. The ESTA fee has increased to $40. All travellers must complete the online ESTA application before travel.

We guide you through everything: passports, visas (if required), group lists, medical forms and insurance. You’ll receive clear instructions and templates to share with parents.

Non-British passport holders must check entry requirements with relevant embassies. Visa requirements are the client’s responsibility. Guidance is available via Visa Central.

An ETA costs £16 and allows multiple journeys to the UK during its validity period. It is valid for two years, or until your passport expires (whichever comes first). The ETA is digitally linked to your passport, so you must travel using the same passport you used for your application.

From 12 October 2025, EES introduced biometric checks (facial image and fingerprints) at EU borders, replacing passport stamping for non-EU travellers.

Most European countries (EU and Schengen countries, excluding Ireland) require at least 3 months’ passport validity beyond your return date. Extra months added when renewing early may not count. Advice applies to British passport holders only.

Officials may ask about purpose of travel, length of stay, accommodation, insurance, group travel and financial means.

ESTA applications may be submitted at any time prior to travel, but we recommend you apply for any ESTAs or visas as soon as possible post-confirmation.

All EU border points are expected to implement EES by 12 April 2026, with phased rollouts.

Yes. Longer queues are possible, and educational groups are not exempt.
